RESERVATIONS
If you are booking a single room Fairmont Room with no special requests, feel free to use the online reservation link below. If you have special requests or you wish to book one of the upgrade room categories listed above, please call to make your reservation.
To make a reservation by phone:1-800-441-1414 Callers should identify themselves as being part of the AESC 2026 (American Eye Study Club) , or AESCWR0726 in order to receive the group rates.
PLEASE NOTE THE FOLLOWING IMPORTANT ITEMS FROM THE HOTEL . . .
For any pre/post requests, guests will need to contact the Reservations Department to check availability and see if the group rate can be honored. Please note that views and bed types are not guaranteed in our discounted group block.
Accommodation Requests - The hotel will guarantee specific room accommodations such as view, bed types or connecting rooms IF THE GUEST MAKES THESE REQUESTS AT THE TIME OF BOOKING AND IF AVAILABLE.
Reservation Guarantees - Individuals must guarantee their reservations by use of a major credit card. at least 30 days prior to program arrival (June 26, 2026), A non-refundable reservation deposit equal to 100% of the applicable reservation room and tax charges will be applied to the individual’s credit card.
Currency and Taxes - The room rates listed above are quoted in Canadian dollars. Applicable taxes will be applied to all charges.
Housekeeping Charges - The hotel will apply an additional Daily Housekeeping Surcharge of $5.00 CAD per room (plus applicable taxes) of which $4.50 CAD is a gratuity that is distributed to the housekeeping team.
Porterage Charge - The hotel will charge an additional Baggage/porterage Fee of $7.00 CAD per person (plus applicable taxes) for arrival and departure days, of which $6.30 is a gratuity that is distributed to the bell services team. This fee is applicable to all guests travelling on a chartered vehicle of 8 passengers or more.
Check-in and Check-out - Check-in time is 4;00 pm. PST. Check-out time is 11:00 a.m. PST. Late check-out requests should be directed to the Front Desk; an additional fee may be required.
Reservation Cancellation - We will accept cancellation of individual reservations made up to 30 days prior to program arrival (June 26, 2026). Any reservation cancellations made after this date, No Shows, and/or Early Departures, will be charged 100% of the applicable reservation room and tax charges, Any non-refundable reservation deposits taken will be retained by the hotel.

IMPORTANT Hotel Policies -- Cancellations after the group housing cutoff date (June 26) might result in an "attrition" charge imposed on the Club if the cancelled room nights are not resold by the hotel. When a member cancels a night (such as early departure) or cancels the entire reservation after the cutoff date, it means those nights included in our group room commitment now won't generate the associated revenue, and the AESC may end up being billed for it.

The AESC has reserved rooms at the Fairmont Chateau Whistler for your benefit. Reserve your accommodations early for the best chance of getting your first choice, as the number of rooms held is limited and, of course, the hotel certainly could sell-out all of their rooms at any time. By making housing reservations within the AESC room block at the Fairmont, you receive a substantial discount on the price of your accommodations.
As is true for all groups who negotiate special discounted pricing for conference attendees, the American Eye Study Club has signed a contract with the Fairmont Hotel that "guarantees" a certain number of hotel rooms will be booked during the dates of our meeting. If we do not achieve a minimum number of overnight accommodations, the Club faces huge financial penalties for unused sleeping rooms. This potentially can cost all members. By staying at the Fairmont instead of other off-property accommodations, you help the Club to meet its obligations, plus you experience the camaraderie that is a significant part of being a member of the American Eye Study Club!
